As the HR Talent Acquisition Administrator, you’ll be customer service oriented and provide support across our core workforce administration and recruitment administration activities within the Portuguese market

Responsibilities:

  • Scheduling job interviews with candidates, manage calendars, update and coordinate all interview logistics. 

  • Creating employment contracts, offer letters and all the necessary documentation required for hire.

  • Managing all candidate communications including candidate queries.

  • Providing administrative support to talent acquisition partners and hiring managers through the recruitment process

  • Using the HR knowledge base and internal work instructions to ensure that processes are executed correctly, and stakeholder guidance is provided in an effective and consistent manner.

  • Performing data quality checks on employee data in Workday, manage the list of errors, discover data gaps and collaborate closely with the relevant stakeholders to rectify the data where applicable.

  • Working with Talent Acquisition teams to execute new hire data entry processes, including externally managed resource data entry/tracking requirements as required.

  • Look for opportunities to improve process execution and technology usage, working with hiring/Recruitment Global Process Owner (GPO) to prioritise and implement improvements.

  • Supporting the expanded provision of HR Services from offshore teams by building customer trust in the Regional HR Centre’s ability to deliver and support the incorporation of new services and countries/customers.

Critical criteria:

  • Experience supporting HR processes and transactions. 

  • Keen attention to detail and focus on data accuracy. 

  • Understanding of common HR and service centre enabling technologies – i.e., case management, telephony, and online user portals 

  • Able to communicate fluently in English and Spanish/Portuguese.

  • Demonstrable ability to manage competing priorities efficiently.

  • Ability to prioritize workload within a matrixed team environment.

  • Enjoys working as part of a lively and hard-working team.

  • Proficient in Microsoft applications.

  • Excellent communication, organisation and interpersonal skills.

  • Proven ability to work with confidential data.

  • Ability to think analytically and effectively problem solve using creative solutions.

  • Flexibility and resourcefulness to change.

Desirable criteria:

  • Experience of working in a Talent Acquisition or HR team.

  • HR qualification.

  • Workday experience.

  • Experience of working in a matrix environment
