Currently we are looking for Senior Executive Assistant who will work with a Senior Executive member. They will be required to be involved in work of a highly confidential and sensitive nature. They may act independently to carry out discrete research and organize high profile conferences and, in some instances, supervise Personal Assistants/Secretaries.

Subject to business needs the individual may be asked to support Senior Leadership Team members in their project management or administrative support.

Main responsibilities:

  • Coordinates internal and external meetings/conferences/events so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
  • Prepares documents and presentation materials, screen and responds to incoming correspondence, arranges and attends meetings; takes and distributes minutes. May complete in Polish and English
  • Manages the executive’s appointments and schedules and makes travel arrangements to make best use of their time
  • Gathers, compiles, verifies, and analyses information for the executive
  • Handles confidential information and maintains the security of the executive’s records and files
  • Develops and manages execution of project plans for projects or programmes

Qualifications, Skills and Experience

  • Outstanding customer orientation and ability to handle confidential and/or sensitive information
  • Eagerness to learn, collaborate, and share knowledge and experiences
  • Ability to establish and strengthen relationships with colleagues across the globe
  • Excellent communication and interpersonal skills,
  • Excellent planning, organizational, and time management skills,
  • Willingness to work from an office,
  • University degree or a combination of post high school diploma and experience in administration field
  • Min. 5 years of professional experience
  • Creativity and ability to work independently
  • Dynamic, flexible and performing a high quality of work under time pressure
