Description:  The Facilities Scheduler Planner maintains the Computerized Maintenance Management System (CMMS) system and is adept at Appling the technology to continuously improve facility operations. Works cross functionally with site groups assisting with planning / executing events. Primary tasks include: receiving all incoming work requests, prioritizing, processing of the work orders, and report generation. This position also communicates to the various groups on site, including customers, and key stakeholders on the status of work / events. Develops work schedules in collaboration with the Science Groups to enable effective and efficient projects, work and repairs. The Facilities Scheduler Planner is responsible for routine system data entry including work orders, new equipment, equipment updates, maintenance tasks, new preventive maintenance plans, new preventive maintenance procedures, and other related information. This person is also responsible for supporting the Security, Safety, Health, and Environment, and Engineering departments as required.


Major Responsibilities:

  • Maintain the Computerized Maintenance Management System on a day to day basis, including:
  • Receive and track all calls from the Facilities Help phone line and provide quality customer service to building tenants.
  • Entering any new work requests, creating notifications and work orders from customer requests
  • Collaborates with system owners to plan and schedule work to effectively utilize available personnel
  • Work with technicians to order and receive necessary parts and supplies for the effective planning and execution of scheduled and unscheduled work, and confirm that materials are available when needed
  • Printing and distributing work orders on a daily basis
    • Oversees timely execution and compliance for related PM’s
  • Oversees timely execution for assigned work orders ensuring a high degree of customer satisfaction
  • Technically completing closed work orders
  • Manage the Documentation, Preventive Maintenance, Work Orders and Procedures
    • Maintains accurate master data records for assigned equipment
    • Collaborates with system owners to develop and implement appropriate preventive maintenance procedures to ensure high reliability of equipment
  • Provides technical support and basic training on SAP CMMS and policies.
  • Perform annual survey of the Work Order Request System Feedback Form and report survey results to Sr. Manager and Director of Maintenance.
  • Works with site groups on planning and executing events as needed.
  • Works cross functionally with all Operations departments as required.
  • Performs Project management support and duties as needed.
  • Performs other duties as assigned by Operations Management
  • Prepares KPI and other CMMS related reports to Maintenance Planning Engineer and other appropriate individuals.
  • Review and enter technical data into the CMMS as required.
  • Perform annual survey of the Work Order Request System Feedback Form and report survey results to Sr. Manager and Director of Maintenance.
  • Works with site groups on planning and executing events.
  • Works cross functionally with all Operations departments as required.
  • Performs other duties as assigned by Operations Management

Essential Requirements

  • Bachelor’s Degree in related field
  • 1-5 years of experience in facilities maintenance or relevant trade.
  • Strong human relations skills in communications and personnel management.
  • Excellent computer skills in Microsoft Word, Excel, and PowerPoint.
  • The ability to self-evaluate work for accuracy and completeness. 
  • Strong time management and organizational skills.
  • Strong oral and written communication skills.
  • Competent project management skills

Preferred Background

  • Knowledge of CMMS (SAP), or equivalent work order systems, preferred SAP R3 Work Order module
  • An overall craft knowledge of the Electrical, Plumbing, Pipefitting, Millwright, Carpentry and HVAC trades.
  • Associates/Bachelor’s degree in engineering or related field.
  • Experience with R&D Laboratory environment.

  • Works with internal and external personnel to ensure Company needs are met.

Reporting Relationship

  • Position reports to Operations Management
