A new and exciting Global Meetings and Events (GME) team is currently being formed within the Global Business Services (GBS) organization. This team will be responsible for implementing and executing a global Strategic Meetings Management Program (SMMP) across Commercial, Enabling Units and Science Units.

As the Virtual Meeting Specialist, you will be responsible for driving interest and utilization of Virtual Meeting Capabilities as an alternative to traditional meeting approaches for internal and external meetings.  This includes creating awareness of what is possible, how to leverage and seeking commitments from AZ markets to leverage the same.  Measuring impact and change from traditional to virtual meetings will be an important element of the role.  You will also be responsible for defining the process for utilization of virtual meeting capabilities and partnering with other key areas of the business (IT, Procurement, etc) to agree on what capabilities will be utilized as a standard suite of tools for virtual meetings. Additionally, you will be the subject matter expert on the GME team and ensure that there is a baseline understanding of the what and how of virtual meetings across the team and GCO so all can advocate for virtual meetings.

  • Subject Matter expert for AstraZeneca’s approach to virtual meetings including the process, technology and associated costs
  • Engage with market points of contact to identify opportunity to leverage virtual meeting and agree on targets for the same
  • Track and report on performance against targets and ensure issues preventing target achievement are addressed through cross functional virtual team
  • Lead the cross functional virtual meeting service team to ensure there is a clear end to end process in place for markets to leverage when they want to pursue virtual meetings
  • Proactively communicate with market contacts regarding changes to the service including advancements in technology or changes to the process
  • Provide consultation and guidance as needed to: AZ Meeting Managers & Regional Directors or meeting owners
  • Partner with AZ IT and Procurement to ensure supplier base is aligned to the end 2 end process, overall performance (KPIs, etc) and roadmap requests are reviewed and addressed

Essential Requirements

  • Bachelor’s Degree or equivalent experience
  • Experience managing a Virtual Meeting & Events service and related capabilities
  • Experience with process, policy and SOP administration
  • Previous experience working across a geographically diverse team
  • Able to anticipate risks and devise solutions that are effectively communicated in a simple and clear way

Preferred

  • Pharmaceutical experience; or other highly-regulated environment
  • Experience with virtual meeting technology
  • Meeting management and/or Travel industry experience
